YOC spreadsheet for
submitting annual records

YOC spreadsheetTo help us to speed up the production of our Annual Report, we ask everyone submitting their annual records to use our spreadsheet to enter and submit their records.

This will also make compiling your records easier.

  1. Records can be entered in any order, for example in date order, because the spreadsheet allows our editorial team to re-order the records in the way that we need them.
       
  2. Species names are standardised in the form used in our reports but built-in "look-up tables" make finding the correct name very easy.
       
  3. A gazetteer of site names, as used in YOC reports, is included for reference. Where the site name for a record is in this list a grid reference is automatically added, but new sites can be entered as well.

What you will need

To use our spreadsheet, you will need either Microsoft Excel, (part of the Microsoft Office suite of programs) or, alternatively, the Open Office suite, which is free software from Sun Microsystems. You can download Open Office from http://www.openoffice.org/ (opens in a new window). This is a very reliable alternative to Microsoft Office.

You will also need software to "unzip" the spreadsheet file, unless you are using a Mac. If you have Winzip installed, you'll have no problem. If not, you can get a free unzip program from http://www.jzip.com/ (opens in a new window)

Downloading the spreadsheet

Windows users: Right-click on the above link, select "Save Target As.." and then select the folder on your hard drive where you want to save the file. Mac users: click on the link and the file will download and unzip in your Download folder.

Instructions and problems

Once you have downloaded the file, use your unzip software to extract the spreadsheet to a folder on your hard drive.

Basic instructions for entering your records are inside the spreadsheet.
